This message will appear if you are trying to Create a New Year and the program notes that Exchange rate differences have not yet been entered.

    Solutions

There are two solutions to solve this problem:

    • Cancel the Create New Year command
    • Procced with your Create A New Year regardless
You may now begin to record transactions for the new year, even if you have not permanently closed the previous year.
  • Cause

Transactions with "#CheckBalance" are added to the Transactions table in order to verify if the balances match, between the one recorded in the "#CheckBalance" transaction and the one present in the accounting file. When the two balances do not match, there are mistakes.

    Solutions

You need to check the records of the account with the mismatch in the balance. Correct and repeat with the "#CheckBalance" function.

For further information refer to the Check accounting page.

  • Cause

The parameters entered in the "#CheckBalance" transaction are not valid.

    Solution

Correct the "#CheckBalance" transaction. The correct syntax for "#CheckBalance" transactions is available on the Check accounting page.

  • Cause

There are transactions (usually those entered on multiple lines) that have the same document number, but with different dates.

    Solution

Check and correct the date or number of the document, that has caused the alert.

For transactions on multiple lines, where there is no link between doc and date, the program is unable to determine the counterpart properly.

  • Cause

For the indicated account, the final balance of the previous year is not the amount indicated in the "Previous" column of the current file.

    Solution

Consult the "difference between the column "Difference between 'Balance' column of your previous year file and 'Opening' column of your current file"

  • For the indicated account the final balance from the previous year does not correspond to the opening balance of the current year.

    Causes

Usually the amounts of the "Opening" and "Previous" columns in the current year accounts table must match the previous year-end balances (the previous year file name is shown in the File and Accounting properties - File menu).

The difference can have several causes:

    • After creating the new year you made changes to the previous year's file.
    • The opening amounts of the current year have been changed manually.
    • In the Exchange rates table, the opening exchange rates are not the same used as closing exchange rates for the previous year.
The opening balance in basic currency (calculated from the opening exchange rates) does not match the previous year's balance.

    Solutions

    • Update the opening balance with the Update opening balances... command from the Account2 menu.
    • There are cases where the difference is meant to be; in this case you can ignore the error message.
  • Causes

Ar row %1 a possible error is present, because the Gr indicated for the account  is not the same as the Group in the totalization row.

In the example image, in the Group 40 are totalized the amounts of the rows having 40 as a Gr, but row 122 has 3 as a Gr.
This means that the account on row 122, in this case the account 3009 - Discounts on sales, will be totalized in the Group 3 and not into Group 40.
The program highlights the possible error, in case this structure hasn't been done on purpose.

It may not be a mistake

The amount of the account will be totalized in the indicated Group, no matter where the account row is placed in the accounting plan.
There are cases where a non-sequential disposition of the accounts is required, and it's therefore not a mistake.

    Solution

Verify that all accounts listed and meant to be totalized in the same Group have the same Gr. More information are available at the Groups page.

We therefore suggest to correct your accounting plan indicating the same Gr for all the accounts that are to be totalized in the same Group.
In our example, the account 3009 - Discounts on sales, should have the Gr 40 and not 3.

  • Cause

The program has found a difference between the balances of a file previous and after it's conversion.

    Solutions

  • The program reports this message when it detects that there have been changes in your accounting file that make it suitable an accounting recalculation.

In some cases it is just a precautionary measure to ensure that all accounting data is still correct.

    Causes

    Some of the possible causes:

    • A transaction was entered using a new account, which only later was included in the chart of accounts.
    • The VAT/Sales tax has been modified (by adding or modifying some tax codes).
    • Some opening exchange rates have been modified.
    • A file written with a previous, non-compatible version has been opened.
    • There was a data conversion that caused errors or differences.

    Solutions

    • Use the Check accounting command from the Account1 menu.
    • If errors are reported, fix them.

Delete the account or group from the row.

Refer to Groups for further information.

  • Cause

The account where the VAT/Sales tax should be registered is not in basic currency.

    Solution

In the Accounts table, ascertain that the account where VAT is registered is in the basic currency.

  • The VAT account in this transaction, being automatically applied by the program, doesn't exist in the Chart of Accounts

    Causes

    • No VAT account could be found in the Files properties > VAT or in the VAT codes table.
    • An inexisting account has been indicated in the File properties >VAT.
    • An inexisting account has been indicated in the  VAT Account column of the VAT Codes table.

    Solution

    1. Indicate an existing account in the File properties or the VAT Codes table.
    2. Execute Check accounting.
  • Cause

  • Cause

If the accounting has been locked at and for a certain date, entering transactions for a date that is equal or preceding the locking date won't be possible.

    Solution

Check the transaction's date and if your transaction must be entered nevertheless, unlock your accounting first.

For further information refer to the Lock transactions page.

  • Cause

The transaction date is prior to the accounting opening date, that you entered in the File properties.

    Solution

Correct the transaction date or change the settings in the File properties.

  • Cause

The date you have entered in the transaction is posterior to the accounting closing date, that you have entered in the File and accounting properties.

    Solution

Correct the transaction date. The date must be included in the initial and final accounting date entered in the File and accounting properties

  • Cause

When the accounting is in locked status and parameters are being modified in the VAT codes table (ex: the percentage of a code), the program won't be able to update those values in the Transactions table.

    Solution

In order to proceed with the modifications, unlock the accounting first with the unlock transactions command (Account 2 menu> lock transactions). Ascertain that all your modifications are correct before making any changes in the VAT Codes table.

For further information refer to the VAT Codes table page.

  • Causes

    1. The currency symbol you are using is not in the Exchange rate table, nor is the basic currency or the currency2.
    2. During the bank statement transactions import  the Destination account (the bank account in your accounting plan) was not indicated.
    3. During the bank statement transactions import  the Destination account (the bank account in your accounting plan, Accounts table) was indicated, but the Currency symbol (Currency column) is missing, or you indicated an account whose currency is not indicated in the Exchange rates table.

    Solutions

    1. Check the currency symbol (Exchange rates table, Currency column), and change it with one existing in the Exchange rates table.
    2. Delete the transactions that you just imported, and import them again, specifying as destination account an account existing in your accounting plan (ex. bank).
    3. Delete the transactions that you just imported. Make sure that in the Accounts table, Currency column, for all accounts there is a currency existing in the Exchange rates table. Then, from the Account1 menu choose the Check accounting command, so you can verify that your corrections were accepted. Now you can import the transactions again.

  • Cause

The group entered in the Accounts or Categories table already exists.

    Solution

    Type a different group.

  • Cause

The value assigned to one Group cannot be equal to the one assigned in the GR column in the same row.

    Solution

Enter a different value for the Group to that assigned in the GR column. For further information refer to the Groups page.

  • When calculating the totals, the program doesn't find the group indicated in the Gr column.

Consult the Groups page under Charts of Accounts or the VAT Codes table page in case the missing group is related to the VAT.

    Causes

    • A Gr that isn't present in the Group column has been indicated.
    • The ID of an existing group has been changed.
    • The Group row has been deleted.

    Solutions

    • In the Gr column of the indicated row, enter an existing Group.

When editing a Group ID, please use the Rename command.

  • Cause

The account or group name contains non authorized characters.

The following characters are not authorized: | (slash), * (asterisk), ? (question mark).

    Solution

    Enter a correct name.

  • Cause

There are two columns in multi-currency accounting for the Amount: "Currency Amount", where amounts in any currency may be entered and "Amount (plus base currency initials)" that is automatically used by the program to carry forward the amounts in base currency and the amounts converted from foreign currencies into the base currency at a specified exchange rate. The error message is caused when a transaction in base currency is resulting in different amounts in the "Currency Amount" and "Amount (plus base currency initials)" columns.

    Solution

Delete the amount that doesn't match the base currency in the "Amount (plus base currency initials)" column

    Refer to Transactions page.

If the transaction is in the base currency, amounts in the "Currency Amount" and "Amount (plus base currency initials)" must be equal. Refer to Transactions page.

  • Cause

The row contains an item code that is not found.

    Solution

    • Correct the wrong item code;
    • Or add in the Items table a new item with the given code.
  • Cause

    The item has been disabled.

    Solution

To activate it, position yourself in the Items table, view Complete, and delete the "2" in the Disable column.

  • Cause

It is likely that the parameters of the VAT/Sales tax are incorrect.

    Solution

Check the parameters entered for the VAT table in use.

Refer to the VAT Codes Table page for further information.

  • Cause

The amount in foreign currency has not been entered in the transaction. This is always necessary.

    Solution

Enter the amount in foreign currency in the Currency Amount column.

Refer to the Transactions page for further information.

  • Cause

The amount is missing in the Base Currency column of your Multi-Currency Accounting.

    Solution

Complete the transaction with the amount in the Base Currency.

  •

    Causes

    • In the entered transaction there are some amounts and some accounts, but there is no date in the Date column.
    • In the File properties, Options tab, the Transaction date required option is activated (it is active by default), and it is therefore necessary for a date do be entered.

    Solutions

    • Enter a date in the transaction row
    • Usually it is better for transactions to have a date. If however you wish to change this setting, you can do so, and the program will not require a mandatory date anymore.

  • Cause

A non-existing segment was entered in the VAT Account column of the VAT Codes table.

    Solution

Correct the segment that was entered.

  • Cause

The file from previous year has not been inserted in the Options section of File and accounting properties.

    Solution

If a  file created with Banana Accounting Software exists for the preceding year, you can retrieve it with the Browse button of the Options tab of the File and accounting properties command (File menu).

  • Cause

The ISO 20022 file selected does not contain any bank statement data.

ISO 20022 is a generic format that may contain different types of information, such as bank statement and order execution confirmations. Only bank statements can be imported into Banana Accounting Software (camt.052/053/054).

    Solution

Check that your ISO 20022 file contains bank statement data or, if not available, ask your bank to provide it.

  • Cause

VAT codes pertaining to the same turnover have been allocated, but with different rates.

    Solution

Check that your VAT codes relate to the same turnover figure and, when this condition is ascertained, correct the rate applied, which must be identical for all codes. Refer to Formulario IVA for further information.

  • Cause

The codes for handling VAT according to the Flat tax rate method are misssing from the VAT codes table.

    Solution

Check the code setting in the VAT codes table. At least one code containing one of the following numbers is required: 320,321,330,331 (the figures are specified in the GR1 column). The amount type must be 0=VAT included. Refer to Swiss VAT tax report - Flat tax rate method for further information.

  • Cause

When accounting with the net tax debt rate/flat rate method, 'Yes' must be entered in the %VAT on Gross column in the VAT Codes table for the gross amount (VAT on Gross is applied for each transaction).

    Solution

Enter 'Yes' in the VAT% on Gross column of the VAT codes table.

    Related topics

  • Cause

The VAT codes table is missing in the English file defined for Switzerland, or the VAT codes are missing for the net tax debt rate/flat rate method.

    Solution

The VAT codes with the prevailing tax rates in Switzerland must be inserted in the VAT codes table. You may copy and paste the VAT codes table from an existing Banana Account Software template or, from the same example file, import VAT codes for Switzerland via the import command in the Account1 menu.

Refer to Swiss VAT tax report - Flat tax rate method for further information.

  • Cause

The "Amount type" column of VAT codes for Flat tax rate method must remain empty. If an amount type is entered, the VAT form for Flat tax rate won't be calculated.

    Solution

Delete the entry in the "Amount type" column and ascertain that your VAT code settings for Net debt/Flat tax rate are correct.

Refer the Swiss vat tax report/Flat tax rate page for further information.

  • Cause

Opening date and Closing date for the period are missing in the File and accounting properties tab, or they are invalid.

The Enhanced statements and accounting reports require Opening date and Closing date for the period.

    Solution

Check your period opening and closing dates and if absent or invalid, enter/edith them via File menu -> File properties command.

  • Cause

Whilst trying to merge two files, identical codes have been found in the VAT codes table but with different percentages or attributions.

    Solution

Check the VAT codes table of both files and adjust eventual discrepancies between them.

  • Cause

No Recurring Transactions can be found with the code that was entered.

    Solution

Copy and paste the recurring transactions from the Transactions table to the Recurring transactions table.

Refer to the Recurring transactions page for further information.

  • Cause

The file selected for importing does not contain a VAT codes table.

    Solution

Ascertain that the file to import contains a VAT codes table.

  • Causes

The program has found differences in registration rows between the total debit/credit transactions or between the total income/expenses.

The difference is probably between the first (1%) and the last (2%) indicated rows.

    • There are errors in the transactions rows
    • An account is missing or is wrong
    • The total Debit/Credit of a transaction on multiple rows do not compensate
    • There are transactions on multiple rows with different dates
    • A VAT account is missing or is incorrect
    • An incorrect VAT/sales tax code towards the counterparty has been used

    Solution

Check the rows indicated by the program

    • First of all correct of all shown errors
    • Check and correct the amounts and complete any missing accounts in the transactions.

After correcting all errors recheck the accounting.

  • Cause

The file of previous year referred to is the file currently in use.

    Solution

Check and indicate the previous year's file name.

  • Cause

An account number that has not yet been added to the Chart of Accounts has probably been used while entering a transaction.

    Solution

You need to Check your accounting.

  • Cause

    • The date entered to lock the accounting is not valid.
    • A lock has been activated previously without sorting of the transactions..
There are transactions with a date greater than the locking date, but it's locking number is inferior to the transaction related to the locking date.

    Solution

    • Check your date and enter a valid one.
    • Unlock the entire accounting (no locking dates).
  • Cause

    1. In the File and accounting properties command, Options tab, the indication of previous year's file is missing.
    2. In the File and accounting properties command, Options tab, the "Smart fill with transactions from previous year" box is not ticked.

    Solution

    1. In the File and accounting properties command, Options tab, use the Browse button to search and select previous year's file. It will show in the "File from previous year" box.
    2. In the File and accounting properties command, Options tab, tick the "Smart fill with transactions from previous year" box.

  • Cause

The program signals rows containing errors.
    Your accounting probably contains errors.

    Solution

    • Execute Check accounting to obtain a list of possible errors.
    • Correct the errors being signaled in the Info window.

Avoid mistakes with Banana Accounting Plus

  • Difference in opening balances (should be nil)

In the Accounts Table, in the Opening column, the total Assets doesn't match the total Liabilities.

    Causes

    1. When using the program the first time, you didn't enter the Liabilities with the minus sign (as, on the contrary, it should have been done)
    2. The previous year profit/loss has not been automatically allocated while creating the new year
    3. In the multicurrency accounting, you haven't calculated the exchange rate differences
    4. When creating the new accounting year, you have also carried forward income and expenses balances (which you shouldn't do)
    5. When the Opening Balances are being entered manually, the result (profit or loss) of the preceding accounting year has not been taken into consideration. In this case, the difference corresponds to the profit or loss carried forward.
    6. When manually allocating the profit on more than one account, you used decimal and/or thousands separators different from the ones used in Banana Accounting.

    Solutions

    1. In the Accounts table, in the Opening column, enter the minus sign in front of the Liabilities amounts.
    2. Repeat the Update opening balances command from the Account2 menu; in the dialog window that opens, select the Profit & Loss from previous year account or another account to allocate your profit or loss. More information are available at the End of the Year closure and New Year page.
    3. If you haven't calculated the previous year exchange rate differences, please visit the Differences in the opening balances in order to find out how to proceed to fix the problem.
    4. If you have carried forward Income and Expenses balances, there are two solution on how to proceed:

      • In the Accounts table, in the Opening column, manually delete the opening balances of your income and expenses.
      • Update your opening balances with the Update opening balances command from the Account2 menu; in the dialog window that appears, be sure to uncheck the Profit & Loss Statement.

    5. Allocate into the Opening column of the desired accounts (for example, Profits/Losses carried forward, Share Capital, Reserves, etc.) the result of the preceding accounting year, hereby taking as well the already existing amount into consideration.
    6. When entering the amounts for the profit allocation, only use decimal separators without thousands separators.
An alternative solution is to change the thousands and decimal separators in the international settings of your operating system (in the Control Panel). More details are available at the bottom of the Interface page.

When finishing your corrections, use the Check accounting command from the Account1 menu.

Avoid mistakes with Banana Accounting Plus

In order to facilitate checking your accounting work and to immediately find differences, in Banana Accounting Plus, our new version, we added the Balance column in the Transaction table. You can now see potential differences on each row and you can correct them right away. It is a very useful feature when closing the accounting period.

  • Cause

Some modifications have taken place and the totals in the Accounts/Categories table have not been updated.

    Solution

Recalculate the accounting with Recalculate totals in Account1 menu or using button F9.

  • Cause

The currency has fixed exchange rates. There cannot be exchange that are different to the Exchange Rate table or the properties defined for the file.

    Solution

Do not use exchange rates different to the fixed exchange rate or modify the preferences defined in the Exchange rate table with the desired exchange rate.

This might not constitute an error message, if small differences - due to rounding up - occur.

  • Cause

If the "Records (+/-) cost centers according to the category" (File>File and accounting properties>Options) box is ticked, you don't need to add it in the cost center as the program already takes it into account.

    Solution

Do not use the "-" minus sign in cost centers.

  • Cause

The account assigned to VAT in the File properties or the VAT code, is possibly also used in the Transactions table (as a debit or credit account).

    This is a possible error.

    Solution

Check that appropriate accounts have been used in Transactions.

  • Cause

For this currency you are using a multiplier different from the one entered in your Exchange rate table.

    Solution

Please recalculate the transaction exchange rate.

  • Cause

This function will no longer be supported in future versions.

    Solution

Do not use this function when creating new files.

  • Cause

The percentage for your credit card has not been applied.

This might have been caused by the following:

    • A VAT Code was entered, where the Amount type was defined as "VAT Amount" or "VAT exempt"
    • A "VAT Amount" or "VAT exempt" Transaction amount was entered

    Solution

The credit card percentage field is bound to disappear in future versions of Banana Accounting Software, please don't use it.

Enter a VAT code as "VAT included" in the Amount type column.

  • Causes in a double-entry accounting file

In a transaction with a due VAT code, the VAT amount is registered as a credit on the VAT account.

    Normally:

    • The Debit account is a Balance sheet account (with 1 or 2 as a BClass)
    • The Credit amount is a Profit & Loss statement account (with 3 or 4 as a BClass), or, if there is a sale of estate goods, is a Balance sheet account (with 1 or 2 as a BClass).

In your transaction the accounts seems to be entered in the opposite way:

    • The Credit account is a Balance sheet account (with 1 or 2 as a BClass)
    • The Debit amount is a Profit & Loss statement account (with 3 or 4 as a BClass),

Causes in a income/expenses accounting file

In the transactions, it seems that the due VAT is entered in the opposite way to what it should be, and:

    • in the Category column a category registered in negative has been entered
    • or, in the Category column an account registered in positive has been entered

    Solutions

    Please verify that:

    • The accounts you used are the correct ones
    • The VAT code you used is the correct one
    • If you are entering a correcting operation or a credit note, you maybe forgot to enter the minus sign "-" before the VAT code

This is a warning message and not necessarily an error. If you think the operation is correct:

    • You can ignore the Warning message
    • You can avoid the program to show the Warning message for this VAT code, by checking the Not warn column in the VAT Codes table.

  • Causes in double-entry accounting

In a transaction with a VAT recoverable code, the VAT amount is entered in debit unto the VAT account.
    As a rule of thumb:

    • The debit account can be part of the Profit and Loss Statement (BClass 3 or 4), or the Balance Sheet (BClass 1 or 2), if there is an acquisition of an Asset.
    • The credit account is an account of the Balance Sheet (BClass 1 or 2).

In the transaction, it seems to be the opposite of what it should be because:

    • The debit account is a Balance Sheet account (BClass 1 or 2)
    • The credit account is an account of the Profit & Loss Statement (BClass 3 or 4).

    Causes Income & Expense accounting

The transaction doesn't seem to be correct because there is a VAT recoverable code and:

    • In the Category column, there is a category that is entered in positive.
    • Or in the Catergory column, there is an account that is entered in negative.

    Solutions

    Verify:

    • If the accounts that have been used are the correct ones.
    • If the VAT code that has been used is the right one.
    • If it concerns a credit note, but the VAT code has not been entered with minus sign preceding it.

It is a warning and not necessarily an error. The operation might also be correct:

    • Ignore the warning.
    • For this VAT code, indicate in the VAT codes table, "No Warning" column, that you do not wish to be warned.

  • Cause

Transactions with identical data have probably been entered.

    Solutions

Check balances against bank or postal account statements and eliminate eventual duplications.

  • Cause

There are transactions without date in the Transactions table. Amounts of transactions without date cannot be included in the reports.

    Solution

In order to locate transactions with missing date, check that "Transaction date required" box is ticked in the File and accounting properties command Options, then Check accounts via Accounts1 menu.

  • Cause

Slight differences might occur due to exchange rate differences or rounding up.

    Solution

Record the exchange rate differences and roundups. Refer to the Differences in the opening balances page for further information on multi-currency accounting.

  • Causes

There are errors resulting in incorrect balances in your accounting.

    1. Account opening balances are incorrect and hence do not add up
    2. There are differences in the Transactions table
    3. Exchange rate difference have not been calculated

    Solution

Click Check accounting; verify all the error messages generated by the program and correct.

Many of our clients have already tried it and are enthusiastic about it. We advise you to switch now to Banana Accounting Plus and take advantage of the many new features.

  • Cause

Exchange rate profit and -loss accounts are not defined in the File and accounting properties>Foreign currency tab.

    Solution

Before proceeding indicate Exchange rate profit and -loss accounts in the File and accounting properties, Foreign currency section.

  • Cause

This warning will display when exchange rate differences have not been generated before creating a new year.

    Solution

Check Exchange rate differences not booked page for further info.

  • Cause

The same account also exists in the previous year, but the currency symbol is different.

    Solution

Check and correct the currency symbol of the account. Both files must have the identical currency symbol.

  • Cause

This account doesn't belong to any group.

    Solution

Enter the Group, the BClass and the related Gr. Refer to the Groups page for further information.

  • Cause

The basic currency is missing in the Accounting tab of the File and accounting properties command.

    Solution

Specify the basic currency of your accounting in the Accounting tab, in the File and accounting properties command (File menu).

  • Cause

Exchange rate differences account not in basic currency.

    Solution

  • Cause

The account (or accounts) for registering foreign exchange rate differences are not indicated in the File and accounting properties (File menu), section foreign currency. The Recalculate totals command, updates the Calculated Balance column using the latest exchange rate of the Exchange Rate table and reports eventual exchange rate profit or loss to the exchange rate difference account.

    Solution

To allow the program to report automatically eventual exchange rate differences, it is necessary to insert the account or accounts destined to register exchange rate differences in the File properties, Foreign exchange tab.

  • Causes

    1. The account for foreign exchange profit and loss is missing in the Chart of Accounts.
    2. The account (or accounts) allocated to foreign exchange profit and loss is/are missing in the Properties file.

    Solutions

    1. Insert an account for foreign exchange differences in the Chart of Accounts, or two different accounts: Profit on Foreign Exchange and Loss on Foreign Exchange, in the relevant sections.
    2. Select the profit and loss accounts in the Foreign currency tab of the File and accounting properties file. If there is one single account for Foreign Exchange differences in the Chart of Accounts, it will need to be selected either in the Account for exchange profit or Account for exchange rate loss box.
  • The total amount of the Credit transactions does not match the total amount of the Debit transactions.

    Causes

    1. The counterparty account is missing
    2. A non existing account has been entered
    3. In a multiple transaction (the one on more than one row), you entered a wrong amount, or you didn't enter all the amounts that compose the multiple transaction.
    4. The accounting has not been recalculated (Check accounting).

    Solutions

Locate the row that generated the difference

    • Use  the Check accounting command.
    • If a difference remains, check the totals column (00) in the Accounts/Categories tab, this will allow you to control which progressive operations do not return a zero result.

    How to solve the problem

    1. Enter the counterparty account number
    2. Verify in the Accounts table if the account exists. If it is missing, enter it.
    3. Check the amounts and ascertain that none is missing.

Many of our clients have already tried it and are enthusiastic about it. We advise you to switch now to Banana Accounting Plus and take advantage of the many new features.

  • Cause

There are errors in the Accounting (possible differences in the accounting, missing BClass for an account, or maybe missing GR reference for an account)

    Solution

Running Check accounting (enable all options), will produce an Info report (Information window) visualizing all possible errors. Double-clicking on the error message will direct you to the row where the error occurs.

Correct the error and rerun Check accounting, until there is no more error message.

  • Cause

While closing your accounts in order to create a new year, an non-existing account was indicated for the breakdown of Profit/Loss for the accounting period.

    Solution

Check that there is an account assigned to the result for the accounting period in the Accounts table. If not you must create one.

  • Cause

No Opening or Current Exchange rate has been entered for this currency in the Exchange rates table, or a date has been entered in the row with the exchange rate.

    Solutions

    • If the Rate Opening is missing, check your preceding Accounting for Closing rates and insert those values in the Opening column of your current accounting.
    • If the current exchange rate is missing, enter it or the value you wish to use, in the Exchange rate column
    • If a date figures in the row, cancel it or create a new row for the same currency without any date.

For further information refer to the Exchange rates table page.

  • Cause

You entered a non existing BClass.

    Solution

Assets must be BClass 1, the Liabilities 2, Costs 3 and Revenues 4.

For further information please refer to the Accounts page.

  • Cause

In multi-currency accounting, the VAT breakdown requires that the account be in basic currency, as well as all the accounts from the Profit and loss statement.

    Solution

Check that the VAT account in the Accounts table is denominated in the basic currency (i.e. the one where your activity is legally based and fiscally liable).

For further information please refer to The multi-currency chart of accounts page.

  • Cause

Each account has it's own currency assigned in the Chart of Accounts. An account was entered in the Credit A/C column of the Transactions table that differs from the currency entered in the currency column of the Accounts table.

  • Causes

The profit from Balance sheet and Profit & loss statement (balance from Previous year column) don't match. In the Accounts table, in the Previous view (and Previous column), balances have been manually entered with some mistakes.

    Solution

Check the accounting file with the Check accounting command from the Account1 menu. In the Accounts table, in the Previous view (and Previous column), check that all the balances are correct: the costs must be entered in positive and the income must be entered in negative (with a - sign).

  • Cause

Profit in the Balance Sheet and the Profit & Loss account doesn't match with the profit indicated in the Totals table.

    Solution

Check accounting using the relative command in Account1 menu and make sure the Difference within transactions box is ticked.

  • Cause

You are trying to recover the opening balances from a file without the multi-currency option. The operation is not possible.

    Solution

Ascertain that you have the multi-currency option activated to recover your balances.

  • When creating a new year, you have carried forward your final balances from the previous year, as the opening balances for the new year, but there is a difference between your previous year final balances and your new year opening balances, because you haven't assigned your profit/loss to any account.

Refer to  the End of the Year closure and New Year page for further information.

    Causes

    • The amounts indicated in the dialog box are not equal to the sum to be allocated.
    • The Chart of Accounts is not set up properly.
    • An account, with a balance in the previous year,  is missing in the New Year.

    Solutions

    • Repeat the operation, entering all amounts so they can be allocated properly.
    • Correct your Chart of Accounts (also see Check accounting) and repeat the operation.
  • Cause

The account being used must have a BClass number.

    Solution

Enter 1 for Assets, 2 for Liabilities, 3 for Expenses, 4 for Revenues.
Refer to the Accounts and Groups pages for further information.

  • Cause

The indicated account has no BClass.

    Solution

You must insert 1 for Assets, 2 for Liabilities, 3 for Loss, 4 for Profits.

Refer to the Accounts and Groups pages for further information.

  • Causes

In the Accounts table, there are accounts without values in the BClass columns.

It is necessary to indicate the BClass for each account, without this, the program cannot prepare the Balance Sheet and Income statement and notify if the VAT is not correctly recorded.

    Solution

    • If the BClass column is not displayed in the Accounts table:
    • For each normal account, enter the number in the BClass column::
      • 1 for Assets
      • 2 for Liabilities
      • 3 for Costs
      • 4 for Revenues
    • For the Cost centres and Segments the BClass must NOT be present (the cell must be empty).

  • Cause

Transactions in multi-currency accounting with net tax VAT code, are only possible in the basic currency. If a net VAT tax code is applied to an amount in foreign currency, the program does not support this function, as the calculation of the gross value would in many cases be incorrect due to the rounding of VAT and of the exchange rate.

For an explanation see VAT and foreign currency transactions.

    Solutions

If there is an amount in a foreign currency, we suggest the following options to avoid any problems:

    • Enter a amount, enter in VAT code for net amount in the respective column and press F6, whilst positioned in that same cell.  This will automatically add the VAT amount to the net amount entered.
    • Alternatively,  enter the transaction in the basic accounting currency on an internal transfer account denominated in the basic currency, without using any VAT codes. Insert the VAT code in the subsequent transaction, the internal transfer account and the amount calculated in the basic currency in the first transaction.
  • Cause

A VAT code for VAT due was inserted, but the Credit account is missing.

    Solution

Enter the Credit account in the Credit A/C column. Refer to the Transactions page for further information.

  • In the transaction you have entered a recoverable VAT code, but the Debit account is missing.

    Please visit the Transactions page

    Causes

    • You didn't enter the Debit account
    • You used a recoverable VAT code instead of the due VAT code

It is possible this not to be an error but an operation intended this way.

    Solutions

    • Enter the Debit account
    • Enter an alternative VAT code
    • If this transaction was intended this way, you can avoid the program to show the error message for this VAT code.
Please visit the VAT table page, Don't warn column

  • Cause

    • In the Chart of Accounts  the group "00 - Difference should be = 0", which groups the Total Balance Sheet and the Total Profit & Loss Statement, is missing. In this row, the Amount column must be zero (empty). If this group shows an amount, there are errors in your accounting.
    • The Balance Sheet or Profit & Loss Statement Sections are missing.
    • There are no accounts of BClass 3 or 4.

    Solution

Create the "00" Grouping in  the Chart of Accounts. Refer to the Groups page for further information.

    Check the accounting.

  • Cause

In the Accounts table, Sections column, sections have not been defined. In order to obtain the Balance sheet with groups, sections are necessary.
